Duties and Responsibilities
The successful candidate for the Administrative Assistant Vacancy will be responsible for a variety of administrative and support tasks, including but not limited to:
- Preparing and maintaining the year plan or calendar.
- Making logistical arrangements for meetings, events, and workshops, including venue, equipment, and refreshments.
- Processing order forms and order numbers for workshops, catering, conferences, and departmental entertainment.
- Administering safekeeping of goods delivered and received.
- Receiving clients from reception and directing them to the relevant boardroom, venue, or office.
- Making bookings for flights, accommodation, and car rental as per departmental policy and procedures.
- Preparing and processing travel documents.
- Binding documents for management meetings.
- Administering telephone accounts, salary slips, sundry payments, and mail register.
- Receiving, registering, and disseminating documents to the relevant officials.
- Keeping and maintaining leave records and asset registers.
- Managing procurement of assets and equipment.
- Handling the general phone line and mail delivery.
- Compiling quarterly delegation reports on approvals done by Directors.
- Managing printer contracts.
- Compiling stakeholder contact lists for the Director.
- Preparing S&T, cellphone claims, and ADSL claims, and submitting them for approval.
- Following up with finance on payments.
- Managing petty cash according to policy and procedures.
- Processing all invoices and ensuring proper record-keeping of expenditure documents.
- Liaising with supply chain regarding the procurement of goods and services.
- Receiving, recording, and distributing all incoming and outgoing documents.
- Ensuring safekeeping of information, documents, order forms, and invoices.
- Tracking documents for the Manager.
- Recording and circulating documents promptly in a clear and confidential manner.
- Proper follow-up of outstanding tasks.
- Adhering to the record management policy and procedure manual.
- Complying with the records disposal system.
- Filing all documents according to the departmental file plan and central filing system.
- Tracing and retrieving files and documents when required.
- Updating and maintaining records of all files and documents, and providing originals or copies to the registry.
- Regularly updating the filing system.
