    The primary purpose of the Member Support Assistant role is to provide effective and efficient administrative support within the membership support unit. The incumbent will be responsible for seamless coordination of administrative duties, thorough verification and approval of financial transactions, and the management of data related to these transactions. This position plays a critical role in ensuring smooth back-office operations and providing first-line assistance to members and internal stakeholders.

    Key Responsibilities

    The Member Support Assistant will be responsible for a range of duties that contribute to the efficient functioning of the membership support unit. The core responsibilities include:

    1. Administrative and Support Functions

    • Overseeing and coordinating daily administrative tasks within the back office.
    • Acting as the first line of support for inbound queries and assisting with day-to-day inquiries from members.
    • Conducting document control, ensuring that all financial transactions, approvals, and discrepancies are properly recorded and maintained.

    2. Financial Transaction Processing

    • Capturing, preparing, and processing financial transactions within the Credit Ease system.
    • Linking all up-to-date documents to the Credit Ease system for accurate record-keeping.
    • Issuing essential financial documents, including:
      • Statements
      • Border letters
      • Settlement quotes
      • Paid-up letters
      • Refund requests for approval
    • Processing credit balances daily and allocating payments for bank direct deposits.
    • Preparing and processing journals related to financial transactions.

    3. Compliance and Verification

    • Conducting thorough verification of financial transactions, ensuring accuracy and compliance with internal policies and regulatory requirements.
    • Adhering to statutory regulations such as FICA, NCA, and POPIA to maintain a legally compliant work environment.
    • Reporting non-compliance issues and implementing appropriate remedial actions when necessary.

    4. Relationship Management and Communication

    • Maintaining strong relationships with members, colleagues, and management.
    • Collaborating with team members to ensure a smooth workflow and timely completion of tasks.
    • Liaising with internal departments, members, and external partners to resolve financial and administrative issues.

    5. Performance and Professional Development

    • Completing and executing a Performance Contract and Individual Development Plan to align with the organization’s objectives.
    • Participating in learning and development programs to enhance skills and competencies.
    • Engaging in peer and team learning initiatives to foster a knowledge-sharing culture.

    Qualifications and Experience

    To qualify for this role, candidates should meet the following criteria:

    Educational Requirements

    • Grade 12 with Mathematics and/or Accounting (Essential)
    • Post-secondary non-tertiary education (Essential)
    • Diploma in Accounting, Finance, or a related field (Advantageous)

    Work Experience

    • Minimum of 2 years of operational experience in the financial services sector (Essential)
    • 1 to 2 years of experience in a call centre environment (Inbound and/or Outbound) (Desirable)

    Required Knowledge and Skills

    Candidates must demonstrate the following competencies:

    • Strong analytical skills and financial acumen
    • Sound understanding of the regulatory environment, including FICA, NCA, POPIA, and other relevant legislation
    • Proficiency in MS Office applications:
      • MS Word – Intermediate
      • MS Excel – Advanced
      • MS PowerPoint – Intermediate
    • Excellent interpersonal and communication skills (both internal and external)
    • Ability to work under pressure and handle conflict resolution effectively
