    A dynamic opportunity has arisen for an Administrator to join a well-established retail organization in Mitchell’s Plain, Cape Town South. This position is a 6-month fixed-term contract and is ideally suited for an individual with a strong administrative background in the Wholesale & Retail Trade industry.

    The appointed candidate will play a pivotal role in ensuring effective internal control systems and optimizing operational efficiency. The primary focus will be to manage the store’s profitability, ensure smooth day-to-day operations, and provide essential support to senior management.

    Role and Responsibilities

    The appointed Administrator will report directly to the Senior Manager/Director and will oversee various aspects of business unit administration. Responsibilities include:

    1. Accounts Administration

    • Overseeing financial transactions and ensuring all records are accurate and up to date
    • Ensuring compliance with internal financial policies and procedures
    • Processing invoices, payments, and reconciliations efficiently

    2. Staff and Payroll Administration

    • Handling payroll processing and ensuring accurate salary calculations
    • Managing leave records, employee benefits, and staff contracts
    • Assisting with HR administrative functions related to the store’s workforce

    3. Tenant Administration

    • Managing tenant correspondence and contract processing
    • Ensuring all tenant-related documents are updated and stored securely
    • Assisting with queries and resolving tenant-related administrative matters

    4. General Office Administration

    • Ensuring smooth day-to-day administrative operations within the store
    • Managing filing systems, reports, and store records
    • Handling supplier relationships, communication, and office supplies procurement

    5. Goods Receiving (GRV) Administration

    • Managing GRV processes to ensure timely and accurate processing
    • Ensuring all received goods comply with store policies and regulations
    • Assisting with stock control and inventory-related administration

    6. Recipe Costing Processing

    • Ensuring accurate cost calculations for in-house recipes
    • Monitoring cost changes and updating records accordingly
    • Working closely with store managers to optimize cost-effectiveness

    Minimum Requirements

    To qualify for this position, applicants must meet the following requirements:

    • Matric / Grade 12 certification
    • Previous experience as an office administrator in the Retail sector
    • Proficiency in Microsoft Office (Excel, Word, Outlook, and PowerPoint)
    • Strong verbal and written communication skills
    • Own reliable transport
    • Knowledge of retail systems (SPAR SIGMA experience advantageous)
    • Clean criminal record and financial credit record (vetting will be conducted)
