    Bidvest Facilities Management, a leader in the facilities services industry, is looking for a passionate and skilled Event Coordinator to join its team in Pretoria, Gauteng.     Event Coordinator Role Purpose

    The Event Coordinator will play a vital role in delivering top-tier event management services, ensuring seamless execution of all internal and external client events. By building effective relationships with employees, partners, visitors, and service providers, the coordinator will help maximize customer satisfaction in alignment with workplace management services defined in the Master Service Agreement.

    Key Responsibilities

    Operational Delivery

    • Assist in the coordination of events and meetings for the site.
    • Collaborate with technical teams to organize AV/VC setups for events and meetings.
    • Coordinate all services related to events, including setup, stationery, catering, and beverages.
    • Act as the primary liaison between clients and the catering company to meet specific requirements.
    • Ensure event spaces meet client specifications, including regular refreshment of water bottles and availability of clean glasses.
    • Manage room arrangements, ensuring spaces are cleared and tidied post-events or meetings.
    • Report issues such as overflowing bins or cleaning needs to the cleaning team.
    • Handle lost property and escalate it to security.
    • Plan events at least 48 hours in advance to ensure smooth execution.

    Contractual Delivery

    • Oversee the final setup of areas in preparation for events, including table settings and decorations.
    • Ensure timely clearing of food, crockery, and other items from event spaces.
    • Coordinate the retrieval, delivery, and setup of furniture to support events.

    Customer Focus

    • Maintain a customer-focused approach, enhancing client satisfaction and loyalty.
    • Provide accurate information and advice to clients in response to inquiries.
    • Work to resolve customer queries efficiently or escalate them as necessary.
    • Monitor and address recurring issues to improve the overall service experience.

    Code of Conduct

    • Take on additional responsibilities as assigned by management to promote sustainability.
    • Demonstrate flexibility in completing tasks beyond the specified job description when required.
    • Uphold BFM’s ethical values and corporate image through deliberate actions.

    Reporting

    • Assist in compiling monthly reports within established timeframes for distribution to relevant stakeholders.

    Qualifications and Skills

    Candidates must meet the following requirements:

    • Educational Background:
      • Matric (Senior Certificate).
      • Preferred qualification in Marketing, Public Relations, or Hospitality.
    • Professional Experience:
      • 2-3 years of relevant experience coordinating events in a similar environment.
    • Technical Competencies:
      • Proficiency in MS Office.
      • Understanding of the OHS Act and ISO 9001 Quality Management Systems.
    • Other Requirements:
      • Valid South African Driver’s License.
