Requirements
- Educational Qualification: Minimum Grade 12.
- Experience: Previous experience in a customer service or reception role is advantageous.
- Technical Skills: Proficient in computer use; experience with GoodX system is a plus.
- Additional Qualifications: Registration as a Dental Assistant with HPCSA is advantageous.
Key Responsibilities
Patient Interaction:
- Provide efficient, friendly, and professional telephone services, ensuring every call is handled with care and precision.
- Greet patients warmly upon arrival, creating a comfortable and positive first impression.
Administrative Tasks:
- Assist patients with form completion, ensuring all documentation is accurate and up-to-date.
- Maintain patient records and update information as necessary.
Reception Duties:
- Manage all aspects of the patient journey, from booking appointments to handling arrival and payment processes.
- Ensure the smooth flow of patients through the clinic, minimizing wait times and enhancing overall patient satisfaction.
Customer Guidance:
- Direct patients to appropriate locations, services, and professionals within the facility.
- Provide clear and concise information to patients regarding clinic policies, procedures, and available services.
Confidentiality:
- Maintain patient confidentiality in accordance with POPIA regulations.
- Handle sensitive information with the utmost discretion and professionalism.
Workspace Maintenance:
- Keep the reception area clean, organized, and presentable at all times.
- Ensure that all informational materials are up-to-date and accessible to patients.
Emergency Protocol:
- Refer emergency cases to the nurse’s station as per established protocol, ensuring quick and efficient handling of urgent situations.
Account Management:
- Handle basic account queries, process co-payments, and perform cash-up and banking functions.
- Ensure accuracy and accountability in all financial transactions.
