The Motor Industry Bargaining Council (MIBCO) is seeking a Legal Secretary to join its Legal Department. This is a permanent position with a competitive salary ranging between R16 000,00 – R17 040,00. The Legal Secretary will be responsible for providing administrative and secretarial support to the Legal Liaison Manager and the SSC Legal Officer.
This role requires a highly organized individual with experience in legal documentation, court procedures, and administrative systems. The ideal candidate should have a paralegal qualification and at least three years of experience in a legal secretarial position or legal firm.
Key Responsibilities of the Legal Secretary
The Legal Secretary will be responsible for coordinating the legal administrative process related to claims, legal actions, and case management. The duties of the Legal Secretary include, but are not limited to:
Administrative and Legal Document Management
- Compiling, typing, and collating relevant legal documents and forms.
- Perusing legal case files and flagging important information for the Legal Liaison Manager and SSC Legal Officer.
- Organizing and maintaining case files and legal documents for easy reference.
- Updating and capturing data on the legal system as required.
- Handling legal correspondence, including mailing, faxing, and arranging deliveries to external attorneys and stakeholders.
- Making photocopies of correspondence and important legal documents.
Legal Case Coordination
- Assisting with the preparation of files for trials, including pagination and indexing.
- Preparing supporting documents for attorneys regarding execution matters.
- Following up with Legal Officers in different regions to ensure the timely submission of required case materials.
- Assisting in collecting legal information and maintaining records of pertinent cases.
Meetings and Diary Management
- Managing the diary of the Legal Liaison Manager and Legal Officer.
- Preparing agendas and taking minutes for legal meetings and workshops.
- Ensuring that matters presented for write-offs or reversals are well-documented and submitted within the recommended deadlines.
Financial and Budget Tracking
- Generating purchase orders (POs) and receipts using the X3 system for approval by the Legal Liaison Manager.
- Tracking expenditure and ensuring that legal department expenses are aligned with the allocated budget.
Stakeholder and Client Interaction
- Handling queries related to legal documents and cases.
- Communicating with internal and external stakeholders, including clients, attorneys, and third parties.
- Providing customer-oriented service to internal and external clients by ensuring that all legal processes run smoothly.
General Office Support
- Assisting in the compilation of monthly reports for board and management meetings.
- Attending to sheriff matters and ensuring the smooth execution of legal processes.
- Performing any ad hoc duties required by the Legal Liaison Manager and Legal Officers.
Skills and Experience Required for the Legal Secretary Role

Educational Qualifications
- Matric (Grade 12) is required.
- Paralegal qualification is essential.
Work Experience
- A minimum of three years of experience in a legal secretarial position.
- Experience working in a legal firm for at least three years.
- Knowledge of legal codes, court procedures, precedents, and legal recovery processes.
Technical and Soft Skills
- Advanced computer literacy to manage legal databases and documentation.
- Excellent typing skills to ensure efficiency in document preparation.
