    Key Responsibilities

    As an OPS Administrator at Fidelity Services Group, you will play a crucial role in ensuring the smooth functioning of the operations department.     1. Meeting Coordination and Diary Management

    • Coordinate and schedule meetings as required.
    • Take responsibility for minute-taking, creating agendas, typing, and distributing minutes and correspondence from the OPS department.
    • Maintain and manage the Regional Manager’s diary to ensure smooth operations.

    2. Filing System Management

    • Ensure the Regional Manager’s filing system is up-to-date and easy to access.
    • Manage all operational travel and accommodation bookings efficiently.

    3. Operational Reporting

    • Compile and manage weekly and monthly operational reports, including crime stats and headcount reports for the Armed Response (AR) department.
    • Draft communications related to company-initiated client cancellations for branches.
    • Assist with managing excess leave and staff requisitions.

    4. Client Liaison and Complaint Resolution

    • Receive and investigate client complaints and ensure timely resolution of issues.
    • Provide full feedback to clients, ensuring problems are resolved without reoccurrence.
    • Serve as a client liaison and ensure a high standard of client communication and satisfaction.

    5. Administrative Support

    • Screen all documentation and correspondence for the Regional Manager (excluding personal items) and prioritize them accordingly.
    • Assist the Regional Manager in handling client complaints and ensure resolutions are made within the required timelines.
    • Support Area Managers and Training Instructors with ad-hoc tasks as needed.

    6. Miscellaneous Tasks

    • Maintain security and cleanliness of the AR Department and the Regional Manager’s office.
    • Represent the AR department on environmental, health, and safety (EHS) matters.
    • Ensure attention to detail, handle tasks independently, and meet set deadlines.
