This exciting contract position offers an excellent opportunity for individuals with a background in office administration and experience in VMMC (Voluntary Medical Male Circumcision) data management to contribute to impactful health initiatives.
About Right To Care
Right To Care is renowned for its comprehensive approach to healthcare support, focusing on HIV prevention, treatment, and other health programmes aimed at strengthening South Africa’s public health system. The organisation’s work in VMMC is crucial as part of HIV prevention efforts, and the role of a Program Assistant is central to ensuring the smooth running of operations within this programme.
Role Overview
The Program Assistant position is designed for an individual who is both meticulous and proactive, able to handle a variety of administrative and data-related tasks. The successful candidate will play a vital role in supporting the daily operational functions of the VMMC programme within the Ngaka Modiri Molema district.
Key Responsibilities
Data Management
One of the core responsibilities of the Program Assistant is the accurate capture and scanning of all consent and follow-up forms from Right To Care-supported VMMC sites. This involves entering data into various systems with a keen eye for detail to ensure quality and completeness. The Assistant is expected to identify any data quality errors promptly and communicate these issues to relevant stakeholders to maintain data integrity.
Daily targets for data capturing will be set by programme staff, and it is essential for the candidate to meet these consistently. Moreover, the Assistant must submit daily error reports to programme staff to support continuous quality assurance efforts.
Quality Assurance
The Program Assistant is also responsible for verifying the completeness and accuracy of the information entered by cross-checking source documents against error templates. Follow-ups on any queried documents should be conducted within one week to avoid delays or inaccuracies in data processing.
Reporting
Reporting is a vital part of this role. The Program Assistant will obtain and compile daily, weekly, monthly, and quarterly statistics from VMMC sites and submit these reports within agreed deadlines. They will prepare both standardised and ad-hoc reports for head office and assist in reviewing national VMMC registers for submission to the Department of Health quarterly.
Administration
Administrative duties are varied and important for keeping the programme running efficiently. The Program Assistant will order VMMC-related materials and forms as required, complete monthly vehicle checklists and fuel slips, and manage petty cash including reconciliation and reporting to finance. They will also facilitate procurement requests on behalf of the district teams.
Office Management
Beyond data and administration, the Program Assistant will coordinate travel and meetings as requested by District Programme Coordinators and teams. They will manage assets and warehousing functions such as receiving and transferring assets, maintaining inventories, and ensuring storeroom quality through stock control visits. The role also involves vehicle maintenance coordination and general office management duties, including oversight of cleaning, safety, security, hospitality, and filing.
Candidate Requirements
Right To Care seeks candidates with the following qualifications and experience:
- A Senior Certificate (Matric) is essential.
- A relevant certificate in Office Administration.
- Preferably a tertiary qualification (diploma or degree) in a related field.
- Strong computer literacy with proficiency in Microsoft Office packages, particularly Microsoft Excel.
- Minimum of two years’ experience in office administrative support with VMMC data handling.
