Minimum Requirements
To be considered for this position, applicants must meet the following criteria:
- Matric (Grade 12) qualification
- A minimum of two years of experience as a phone operator or in a similar role
Responsibilities of the Receptionist
The primary purpose of this role is to ensure excellent customer service by handling incoming calls, welcoming visitors, and maintaining the reception area.
Key Responsibilities Include:
1. Switchboard Operations & Reception Duties
- Answer all incoming calls professionally and efficiently.
- Ensure that calls are picked up within five rings.
- Keep the reception area clean, organized, and welcoming at all times.
- Ensure visitors are properly attended to and do not wander around the offices unescorted.
- Maintain a strict professional demeanor when interacting with customers, employees, and visitors.
2. Handling Parcels & Overnight Express Bags
- Ensure that overnight bags or parcels are properly signed for and handed over to the administration department.
- Maintain a clear record of all documents received and signed.
- Assist in preparing overnight bags and ensure they are delivered to the correct customers or depot.
3. Additional Responsibilities
- Adhere to all company policies and procedures at all times.
- Follow instructions given by the management team.
- Assist with post/tea lady duties when the assigned staff member is on leave or sick.
