    Sales Assistant Job Purpose

    The role of the Sales Assistant is primarily to support the Sales department through various administrative tasks. This position plays a crucial role in ensuring the smooth functioning of the Sales team’s daily activities and is ideal for someone with strong administrative skills and a passion for working in a supportive capacity.

    Minimum Requirements

    To be considered for the position, candidates must meet the following criteria:

    • Educational Qualifications:
      • Grade 12 (with Mathematics and Accounting)
      • Post-school qualification (advantageous)
      • PSIRA Grade B Qualification (mandatory)
    • Experience:
      • At least 3-5 years of experience as an assistant reporting to senior management.
    • Technical Skills:
      • Advanced proficiency in Microsoft Excel, Word, and PowerPoint.
      • Above-average verbal and written communication skills.
      • Clear criminal record with no pending cases.
    • Personal Attributes:

    Key Performance Areas

    As a Sales Assistant, your responsibilities will include:

    1. Administrative Support for Sales Consultants:
      • Provide administrative assistance to sales consultants to ensure the smooth processing of tasks.
    2. Quotations and Contract Administration:
      • Prepare and manage quotes for national contracts and other administrative tasks as assigned.
    3. Client and Team Coordination:
      • Establish and maintain effective working relationships with all support departments.
      • Take ownership of escalated queries, ensuring resolution and follow-up with clients.
      • Collaborate with team members to identify and resolve client queries.
    4. Meeting Coordination and Documentation:
      • Coordinate and book meetings with clients and staff members.
      • Record accurate meeting minutes and distribute agendas and minutes in a timely manner.
    5. Correspondence and Filing:
      • Screen and prioritize departmental documentation and correspondence.
      • Maintain departmental filing systems and distribute outgoing documentation as needed.
    6. Visitor Management and Assistance:
      • Screen and receive visitors, ensuring their comfort and attending to their needs.
    7. Financial and Order Control:
      • Control purchase orders, quotes, and sales orders within the Sales department.
    8. Telephonic Assistance:
      • Provide telephonic support to clients and address any queries or complaints directed to the Sales department.
    9. Ad-hoc Duties:
      • Perform additional functions as required by the Head of Department (HOD) or other senior staff.
