    Eligibility Criteria

    Minimum Requirements

    Candidates must meet the following qualifications and experience criteria:

    • A National Diploma (NQF 6) / Degree (equivalent to NQF 7).
    • A minimum of three (3) years of experience at a Junior Management / Assistant Director level.
    • A broad knowledge and understanding of the functional areas covered by the executive authority’s portfolio.
    • Proven management competencies.
    • Knowledge of political and parliamentary processes in South Africa.
    • Computer literacy.

    Additional Requirements

    • Preference will be given to candidates who contribute to the department’s employment equity goals.
    • Foreign qualifications must be evaluated by the South African Qualifications Authority (SAQA).

    Key Responsibilities

    As the Administrative Support and Coordination Officer, the successful candidate will be responsible for:

    Document and Workflow Management

    • Develop, implement, and maintain systems, registers, and databases to monitor and manage the flow of documents within the office of the executive authority.
    • Compile correspondence, submissions, and cabinet memoranda as required.
    • Review, edit, and comment on submissions before they are presented to the executive authority.

    Procurement and Budget Administration

    • Oversee the procurement and maintenance of office equipment.
    • Administer and manage the budget of the executive authority’s office.
    • Ensure compliance with financial regulations and spending controls.

    Logistical and Office Support

    • Manage the logistical needs of the executive authority’s office, ensuring smooth operations.
    • Classify and handle documents as per Management Information Systems (MIS) prescripts.

    Liaison and Stakeholder Engagement

    • Act as the main point of contact between the executive authority’s office and internal/external stakeholders.
    • Coordinate communication and activities with various departments and entities related to the portfolio.

    Cabinet and Executive Council Support

    • Distribute memoranda and official documents to Cabinet and Executive Council members.
    • Manage official documentation and submissions to relevant legislature and portfolio committees.
    • Keep track of Cabinet and Executive Council decisions, ensuring the necessary follow-ups are conducted.
    • Alert the Chief of Staff and executive authority regarding necessary actions and deadlines.

    Human Resources Management

    • Manage human resource functions within the office of the executive authority.
    • Ensure compliance with HR policies and procedures.
    • Supervise and support staff in fulfilling their administrative duties.
