This permanent administrative role is pivotal in managing student admissions, registration processes, and graduation operations.     Qualifications and Experience

    • Minimum Qualification: National Diploma/Advanced Certificate (NQF Level 6).
    • Preferred Qualification: Advanced Diploma or Degree (NQF Level 7).
    • Experience: At least two years of administrative experience, preferably in admissions.

    Key Responsibilities

    1. Student Application & Admission Administration

    The Admissions Officer collaborates closely with the Student Recruitment team to streamline the admissions process. Their duties include:

    • Managing and following up on admissions queries.
    • Evaluating and processing student applications based on set admission criteria.
    • Issuing admission letters and tracking admissions through to registration.
    • Managing waitlists, declined admissions, and expired offers.
    • Ensuring compliance with service level agreements and escalating unresolved issues to the Admissions Manager.

    2. Student Registration Administration

    Accuracy and compliance are crucial for this role. The Admissions Officer:

    • Verifies student registrations and ensures pre-requisites are met for each semester.
    • Manages de-registration and transfer processes, liaising with the Finance department.
    • Ensures all documentation is complete, adhering to Protection of Personal Information Act (PoPIA) regulations.
    • Audits registration files and processes academic credits.
    • Tracks conditional admissions such as study visas, National Senior Certificate (NSC) exceptions, and other special cases.

    3. Graduation Management

    The Admissions Officer plays an integral role in graduation preparation by:

    • Verifying student eligibility for graduation, including exception graduates.
    • Preparing certificates and ensuring adherence to graduation timelines.
    • Facilitating reprints of qualification certificates and managing graduation-related tickets.

    4. Ticket Management and Reporting

    The officer addresses queries via the student ticket system and ensures:

    • Continuous communication with the Assistant Registrar.
    • Accurate reporting and compliance with institutional policies, including PoPIA legislation.

    5. General Administrative Support

    From drafting student-related letters to managing international student compliance, the Admissions Officer ensures seamless operations across the student lifecycle.
