    Role Overview

    The role of a Customer Services Officer at DHL Supply Chain involves managing a range of customer service functions, ensuring the seamless flow of information and orders between clients, Key Account Managers (KAMs), and operational teams. This position is vital to maintaining service excellence, meeting customer requirements, and resolving issues promptly. The successful candidates will be proactive, have a good understanding of logistics operations, and demonstrate excellent communication skills.

    Key Responsibilities

    The Customer Services Officer role comes with various responsibilities, all aimed at ensuring smooth operations and excellent customer service. These include:

    1. Order Management:
      • Ensuring that all orders received before 15:30 are processed on the same day.
      • Managing special requests and ensuring that vital communication is sent to all relevant stakeholders.
      • Maintaining accurate records of orders in the system and updating them as needed.
      • Allocating orders for delivery and managing pallet configurations to ensure delivery timelines are met.
    2. Query Management:
      • Responding to customer queries via email or telephone before 17:00.
      • Providing updates to customers while awaiting feedback from relevant departments, ensuring clear and timely communication.
    3. Stock Management:
      • Coordinating urgent deliveries when stock availability is an issue.
      • Managing cut authorizations and ensuring stock allocation aligns with customer orders.
    4. Pricing Management:
      • Escalating any price variances between SAP systems and customer orders.
      • Ensuring that all orders reflect accurate pricing before processing.
    5. Returns and Uplifts:
      • Handling returns and managing the order return-related processes efficiently.
      • Managing loading and uploads on the Pride system to ensure accuracy.
    6. Report Generation and Reporting:
      • Preparing and sharing reports such as VA05, daily and weekly order analysis, and strike rate reports for clients like PnP and Makro.
      • Ensuring that reports are submitted to stakeholders in a timely and accurate manner.
    7. General Administration and Ad Hoc Tasks:
      • Identifying potential issues and resolving them before they affect service quality.
      • Providing feedback on delivery issues, complaints, and ensuring customer satisfaction.
      • Building and maintaining strong relationships with internal and external stakeholders.

    Qualifications and Experience

    The ideal candidate will have:

    • Matric (Grade 12) or equivalent.
    • 2-3 years of customer service experience in the warehousing or logistics industry.
    • A strong understanding of SAP systems and proficiency in Excel and Word.

    • Excellent communication skills, both verbal and written, and strong interpersonal skills.
    • Strong problem-solving abilities and the capacity to manage and resolve customer queries effectively.
