    Key Responsibilities

    As the Marketing and Product Development Assistant, you will play a crucial role in supporting the department’s day-to-day operations, providing essential administrative assistance, and working closely with the team to ensure smooth workflows. Below are the key areas of responsibility:

    Marketing Administration:

    • Assist the Marketing and Product Development department with routine tasks such as answering phone calls, responding to emails, and escalating issues when necessary.
    • Help with various admin tasks, including briefing templates, feedback forms for suppliers, shipping parcels, and handling general office administration.
    • Address customer complaints and ensure that the product complaint procedures are fully followed.
    • Manage tasks like invoice preparation, filing, minute-taking, and creating presentations for meetings.
    • Participate in the sourcing, procurement, and ordering of branded items, ensuring quotes are approved and orders are placed with selected suppliers.
    • Keep customer files updated, including product briefs, approvals, and signed-off artwork.
    • Maintain the company’s website with accurate content as needed.
    • Provide input on yearly calendars for CSI (Corporate Social Investment) and marketing campaigns.
    • Offer support for in-house projects, including designing materials on Canva for events or special occasions.
    • Assist in scheduling and preparing social media content as directed by the manager, including arranging content shoots.
    • Share ideas and provide input on new products or marketing innovations.
    • Attend meetings as needed to contribute to marketing and product development discussions.

    Product Development Administration:

    • Manage and maintain customer files, including quality control documentation.
    • Assist in creating seasonal trend presentations and updating them as necessary.
    • Ensure the Product Sample Room is always presentable and that samples are well-stocked.
    • Adhere to brand guidelines when preparing documents and communications.
    • Conduct research on product trends and present findings to the team.
    • Keep a database of Pre-Production samples and update product codes as needed.
    • Prepare detailed briefs for New Product Development, especially regarding color and packaging.
    • Test samples and provide feedback, ensuring all feedback forms are accurately filled out and submitted for approval.
    • Assist with loading product information into the system and updating barcodes as directed.

    General Office Administration:

    • Handle general office administration tasks, including updating departmental files, scheduling meetings, and assisting with grocery orders.
    • Coordinate the monthly staff allocations and distribute orders efficiently.
    • Provide front desk reception duties, welcoming visitors when needed.
    • Draft minutes for meetings and ensure they are properly documented.

    Requirements

    To be considered for the Marketing and Product Development Assistant position, candidates should meet the following criteria:
