Duties:
Administration:
- Oversee project-based administrative tasks.
- Manage service agreements with providers to ensure timely service delivery.
- Ensure compliance with laws, regulations, policies, and procedures.
- Maintain up-to-date compliance certificates.
- Implement and manage internal and external management systems.
- Manage financial tasks such as fee management, petty cash, purchasing, and financial policy adherence.
- Supervise project-based inventories.
- Handle learner enrolment and registration.
- Assist Senior Management and Programme/Service Managers in data collection.
- Perform additional ad-hoc duties as required by Principal and Senior Management.
Facility Management:
- Responsible for maintaining facilities, repairs, and upkeep.
- Monitor safety and cleanliness of interior and exterior areas.
- Supervise lawn, vegetable garden, tree pruning, and play area maintenance.
- Ensure effective servicing of water filtration and septic tank systems.
- Coordinate sanitation and pest control with service providers.
- Implement safety protocols and communicate security matters.
- Manage keys and property access control.
- Conduct routine maintenance inspections.
Health and Safety:
- Oversee Health and Safety compliance.
- Conduct Health and Safety inspections.
- Organize regular evacuation drills, service fire extinguishers, and arrange first aid and fire training.
Staff Management:
- Lead a team of approximately 6 – 10 staff members, including administrators, cooks, cleaners, drivers, and groundskeepers.
- Facilitate staff professional development through weekly observation and coaching.
- Manage and support direct reports, including onboarding, performance management, and capability development.
- Assist with industrial relations under HR guidance.
Stakeholder Engagement:
- Maintain positive relationships with stakeholders such as communities, staff, parents, service providers, donors, farm owners, NPO partners, and government departments.
Fleet and Logistics Coordination:
- Manage fleet of vehicles, including licensing and maintenance.
- Follow up on weekly vehicle inspections.
- Coordinate transport schedules and driving assignments for activities.
- Monitor vehicle log sheets and report any concerns regarding driving behavior or damage.
Requirements:
- Preferably hold a Diploma in Administration or related field.
- Minimum 3 years of experience in a similar role.
- Understanding of Human Resources principles.
- Experience in the Non-profit Organization (NPO) sector preferred.
- Proficiency in Afrikaans and English (written and spoken).
- Valid driver’s license and reliable transport (location on a farm with dirt road).
- Willingness to obtain a code 10 driver’s license and drive passenger vehicles.
- Advanced computer skills.
- Attention to detail, strong planning, and prioritization abilities.
- Excellent interpersonal and communication skills.
- Ability to manage relationships with staff, parents, learners, regulatory bodies, and the public.
- Strong problem-solving skills.
