Project Co-ordinator and Personal Assistant Job Description
This vacancy offers the ideal candidate an opportunity to engage with various administrative and coordination responsibilities in a fast-paced environment. Working in Pedros’ Development division, you’ll play a vital role in ensuring the smooth functioning of internal processes while interacting with different stakeholders.
Key Responsibilities
As a Project Co-ordinator and Personal Assistant, your duties will include:
1. Workflow Coordination
- Collaborate with the internal development team to implement Standard Operating Procedures (SOPs).
- Ensure all SOP documentation is submitted on time and correctly organized.
2. Meeting Management
- Prepare weekly minutes for development meetings, track action items, and follow up with team members.
- Assist the Group Development Manager (GDM) in scheduling meetings with internal and external stakeholders.
3. Project Documentation
- Maintain an updated filing system for all project documentation, including:
- Certificates of Compliance (COCs)
- Plan Submission Applications
- Business License Applications
- Approved Plans
- Occupation Certificates
4. Compliance and Service Documentation
- Work closely with the Operations team to ensure service certificates and compliance documents are up-to-date for existing stores.
- Prepare handover files containing essential compliance documents for each project.
5. Project Tracking and Reporting
- Maintain and update the project tracker, sharing it with relevant stakeholders weekly.
- Assist the Project Managers (PMs) and the Procurement Manager in obtaining quotes and ensuring deadlines are met.
6. Departmental Activities
- Coordinate departmental activities to keep all stakeholders informed of scheduled tasks.
- Help plan and arrange travel bookings, including flights, accommodation, and transport.
Requirements

- Experience:
- A minimum of 2 years’ experience in a similar position.
- Technical Skills:
- Proficient in MS Word, Excel, and PowerPoint.
