    Purpose of the Finance Administrator Role

    The Finance Administrator will play a central role in the financial operations of UCTLI. The primary purpose of this position is to ensure the smooth functioning of financial activities within the Unit. This involves the proactive management of grant finances, financial planning, reporting, and ensuring that all expenditure is recorded accurately within different budget categories. The role supports the Unit’s broader research objectives by facilitating effective financial management, allowing researchers to focus on their critical work.

    In this position, the Finance Administrator will need to balance attention to detail with the ability to work within tight deadlines. A proactive approach and the ability to anticipate and address potential issues are essential for success.

    Key Requirements

    To qualify for this position, candidates must meet the following minimum criteria:

    • Educational Background:
      • A Grade 12/Matric certificate with a background in bookkeeping, accounting, or mathematics.
      • An accounting or financial qualification from a tertiary institution is advantageous.
    • Experience:
      • A minimum of 3 years of experience in a financial administration environment.
      • Familiarity with accounting principles, budgeting, and forex transactions.
      • Proficiency in Accpac (advantageous but not mandatory).
    • Skills:
      • Advanced computer literacy, especially in MS Excel, MS Word, and MS Outlook.
      • Exceptional communication and interpersonal skills.
      • Detail-oriented with strong organizational, analytical, and problem-solving abilities.

    Primary Responsibilities

    The Finance Administrator will undertake a wide array of tasks, including but not limited to:

    1. Financial Management:
      • Managing the Unit’s funds and preparing internal management reports.
      • Monitoring budgets and expenditures to ensure compliance and efficiency.
    2. Budgeting and Reporting:
      • Assisting with budget preparation for research projects and external grant applications.
      • Preparing financial reports as required by external funders.
    3. Administrative Support:
      • Processing expenses and maintaining timesheets.
      • Handling purchase orders, vendor communication, and petty cash management.
    4. Problem-Solving and Analysis:
      • Regularly reviewing funds, identifying irregularities, and addressing potential issues proactively.

    Terms of Employment

    • Contract: This is a 12-month fixed-term contract.
    • Working Hours: 40 hours per week, Monday to Friday.
