    Purpose of the Junior Debtors Clerk Job

    The primary objective of the Junior Debtors Clerk is to efficiently manage debtors’ accounts, process invoices, receive statements, and ensure timely reconciliation of these accounts. This role is essential in maintaining smooth financial operations within the organization, supporting the Transpharm division by adhering to collection targets, and managing all related accounting tasks.

    Key Responsibilities

    As a Junior Debtors Clerk at Shoprite Group, your day-to-day duties will include:

    1. Processing and Filing of Invoices:
      • Accurately processing all invoices received.
      • Filing and organizing invoices to maintain orderly records.
    2. Management of Debtors Accounts:
      • Monitoring and managing all debtors’ accounts.
      • Identifying and addressing discrepancies promptly.
      • Calling clients to follow up on outstanding payments and invoices.
      • Ensuring that all collection targets are met or exceeded.
    3. Account Reconciliation:
      • Conducting monthly reconciliation of debtors’ accounts.
      • Maintaining daily reconciliation of POS-i-TILL payments.
      • Preparing daily bank account clearing and reconciliation of G/L Cash and Bank accounts.
      • Generating debtors’ and petty cash reconciliations, as well as daily bank reconciliation statements.
    4. Client Communication:
      • Distributing accurate monthly statements to clients.
      • Managing and resolving any queries related to debtors, escalating to the manager where necessary.
    5. Administration:
      • Processing new accounts on the system efficiently.
      • Maintaining detailed records and ensuring proper documentation for auditing purposes.

    Requirements

    Essential:

    • Matric (Grade 12).

    Desirable:

    • Diploma or Degree in finance or a related field.

    Experience and Skills

    Experience:

    • A minimum of two years’ experience in a similar role, preferably in the pharmaceutical or retail sector.

    Skills:

    • Excellent interpersonal and communication abilities.
    • Strong organizational and systematic skills.
    • High level of attention to detail.
    • Proficient in MS Office, particularly Excel.
    • Sound knowledge of accounting principles and reconciliations.
    • Professional telephone etiquette and administration skills.
