Toys R Us and Babies R Us South Africa, a trusted leader in the retail industry, is seeking a dedicated Payroll Coordinator to join their Human Resources team in Durban, KwaZulu-Natal. The position plays a critical role in ensuring smooth and efficient payroll operations for employees across South Africa and stores in neighboring countries, including Zambia, Botswana, and Namibia. Key Responsibilities
Payroll Processing
- The Payroll Coordinator will manage and process employee payroll, including wages and overtime.
- Ensure accurate payroll processing for employees in South Africa and regional stores outside the country.
Compliance and Record-Keeping
- Ensure payroll practices are fully compliant with local and regional labor laws.
- Maintain up-to-date payroll records and reports, covering attendance, overtime, and payroll summaries.
Audits and Reporting
- Conduct regular payroll audits to identify and resolve discrepancies.
- Generate payroll reports for management, offering insights into payroll data.
Tax Reporting and Compliance
- Prepare and submit payroll-related tax filings, including EMP201 submissions and annual tax returns.
- Ensure payroll is compliant with tax regulations, such as PAYE, UIF, and SDL.
Employee Relations
- Address payroll-related inquiries and concerns from employees efficiently and with professionalism.
- Process garnishments, union payments, and other deductions.
System and Process Management
- Manage the company’s payroll system, Sage 300 People, ensuring optimal functionality and updates.
- Identify and implement process improvements to enhance efficiency and accuracy.
Benefits and Leave Administration
- Coordinate payroll deductions for medical aid, provident fund, and other benefits.
- Ensure leave is accurately captured and integrated into the payroll system through the Jarrison clocking system.
New Starters and Terminations
- Load new employees onto the payroll system promptly.
- Accurately process terminations to reflect final payouts and legal requirements.
Filing and Archiving
- Maintain a robust filing and archiving system for all payroll-related documents.
Workman’s Compensation and UIF
- Handle claims for workman’s compensation and file necessary UIF documentation, such as maternity or dismissal claims.
- Manage yearly payments and reporting for Workman’s Compensation.
Ad Hoc Duties
- Perform additional payroll-related responsibilities as needed, showcasing flexibility and commitment.
Qualifications and Experience
The ideal candidate for this role will meet the following qualifications and experience requirements:
- A relevant qualification in Payroll, Human Resources, or a related field.
- At least 5 years of proven experience in payroll management, with a preference for expertise in Sage 300 People software.
- Strong knowledge of South African tax regulations and payroll principles.
- Experience with SARS interim and tax year-end submissions.
