Key Responsibilities
As a Personal Assistant at Fidelity Services Group, you will be responsible for a variety of tasks aimed at supporting the Branch Manager and ensuring efficient branch operations. Your duties will include:
- Diary Management:
- Managing and following up on the Branch Manager’s schedule.
- Report Preparation:
- Typing and compiling weekly and monthly reports as required by management.
- Client and Branch Queries:
- Assisting in resolving queries from both clients and the branch, via phone and email.
- Documentation:
- Filing documents numerically and alphabetically.
- General Office Duties:
- Assisting with day-to-day office tasks and management duties as needed.
- Travel Arrangements:
- Booking travel and accommodation for the Branch Manager.
- Fleet Management:
- Overseeing fleet, fuel, and company vehicle management.
- Payroll and HR Support:
- Capturing payroll orders and assisting with HR portal management.
- Procurement:
- Issuing purchase orders (POs) and Capex approvals, ordering monthly stationery and refreshments.
- Record Keeping:
- Maintaining records of Polygraph Examinations, processing client funds, and balancing treasury.
- Stock and Attendance Management:
- Conducting daily stock checks and managing time and attendance records.
- Staff Management:
- Overseeing and managing staff performance and responsibilities.
Qualifications and Skills
- Education:
- Minimum Matric Certificate.
- Experience:
- Previous experience in branch administration is an advantage.
- Technical Skills:
- Proficiency in MS Word and Excel.
- Strong computer literacy.
- Administrative Skills:
- Excellent organizational and administrative abilities.
- Interpersonal Skills:
- Strong communication and client liaison skills.
- Ability to work independently and under pressure.
- Proactive, highly organized, energetic, and innovative.
- Other Requirements:
- Own transport is essential.
