Key Responsibilities
As a Secretary in the Provincial Investigation and Integration – Inland Branch, you will play a crucial role in supporting the Executive Manager and ensuring the smooth operation of administrative tasks within the branch. Your responsibilities will include:
- Secretarial and Administrative Support: Provide comprehensive secretarial and administrative support to the Executive Manager. This includes typing, copying, and filing letters, reports, and memorandums.
- Diary Management: Manage the Executive Manager’s diary, schedule meetings, and ensure all engagements are well-coordinated and timely.
- Document Quality Assurance: Review and ensure the quality of documents submitted to the Executive Manager before they are processed.
- Meeting Coordination: Prepare for meetings by handling all logistical aspects, such as booking venues, organizing refreshments, preparing meeting packs, setting agendas, and taking minutes.
- Correspondence Management: Sort, edit, record, and distribute incoming and outgoing correspondence to ensure efficient communication flow within the branch.
- Stationery and Goods Management: Coordinate the procurement and distribution of stationery and other necessary goods and services.
- Event Coordination: Assist in organizing and coordinating events related to the unit.
- Travel Arrangements: Make travel arrangements for the Executive Manager and other staff members as required.
- Task Management: Assist with various tasks assigned by the Executive Manager, including facilitating the completion of GRNs.
Minimum Requirements
To qualify for this role, you must meet the following criteria:
- Educational Qualifications: A three-year qualification at NQF level 6 in Office Management, Public Administration, Public Management, Management Assistant, or Secretarial Services.
- Experience: At least one year of experience providing secretarial services in a similar environment.
- Technical Skills: Proficiency in MS Word, MS Excel, MS PowerPoint, and experience with email and internet usage.
- Communication Skills: Excellent verbal and written communication skills.
- Organizational Skills: Strong organizational abilities, including the capacity to manage multiple tasks and work under pressure to meet deadlines.
- Professionalism: High level of professionalism, ethical conduct, and ability to maintain confidentiality.
- Customer Service: Good customer service skills and telephone etiquette.
- Interpersonal Relations: Ability to work well with others and maintain positive interpersonal relations.
